Sonar Multi-School

Check data, run exports and manage trust users

How-to guideFor trust data and assessment leads and trust administratorsSonar Multi-School

Use Admin in Sonar Multi-School to see which schools still have judgements to enter, and to export pupil data for several schools in one file. Trust users are managed separately, in Juniper Portal.

You need:

  • to be signed in to your trust account, not a school account
  • the Account Owner or Account Admin role to open the data completion reports
  • to be an administrator in your trust’s Portal account to invite users

If Admin shows You don’t have permission to access any admin options, your role does not include any admin pages. Ask your trust’s Account Owner.

The data completion reports show how many of the expected summative judgements each school has entered for an assessment point. Schools have the same report in Sonar Tracker, the Summative Data Check Summary: see Check data entry.

  1. Select Admin in the main menu.
  2. On the Reports tab, select Primary Summative Data Completion or EYFS Summative Data Completion.
  3. Check the assessment point in Academic Year and Assessment Period, and change it if you need to.
  4. Choose subjects in the Subjects Selector (Subject Selector in the EYFS report).
  5. Select a school to see its year groups.
  6. Select a year group to see its classes.

The report opens at trust level. Rows are schools, year groups or classes, and columns are subjects. Each cell shows how many of the expected judgements have been entered, as a number and a percentage. A cell turns green, 100%, when every expected judgement is in, and stays white, such as 90%, while any are missing.

For example, if 27 of the 30 pupils in a class have a reading judgement, the reading cell shows 90%. It stays white until the other 3 are entered.

Pupils counts every pupil, including those with no judgements, and Pupils With No Assessment shows how many have none at all. The analysis pages leave out pupils with no judgements, so this report shows the gaps they hide.

Select a column heading to sort by it, or Print to print the report. Print and export explains how to fit a wide table on the page.

The trust report stops at class level. To see which pupils are missing judgements, a school uses its own Summative Data Check Summary, which goes down to pupil level.

The Pupil Data Export works like the school version in Sonar Tracker, with a choice of schools. It creates a CSV file of pupil-level data, which you can open in a spreadsheet. Formative assessment is not included.

  1. Select Admin, then the Data Management tab. Pupil Data Export - Filter Pupils opens with every school selected.
  2. Under Schools, untick any school you do not want.
  3. Choose at least one year group or class in Pupil Groups, or a group in Groups.
  4. If you need to, narrow the pupils further with Gender, Attendance, Focus, SEN or SEN Needs.
  5. Select Next Step.
  6. In Select Pupil Columns, tick the pupil details you want, or Select all, then select Next Step.
  7. In Select Terms, choose up to 7 assessment points from this or earlier academic years, then select Next Step.
  8. In Select Subjects, choose EYFS, Primary or both, and the subjects within them, then select Next Step.
  9. In Select Assessments, choose one or more of Projection, Statutory, Summative, Summative Target and Test Score, then select Next Step.
  10. Check the Review Summary, then select Queue export.

A message confirms that the export is queued. Select Back to Admin, and do not run the export again while you wait. When the file is ready, usually within a few minutes, a message with a link arrives in your Inbox. Select the file name to download it. The link expires after 14 days, after which you need to run the export again.

Trust users are invited from the trust’s own Juniper Portal account, not from a school’s. The person must be on the trust’s staff list in Juniper MIS, the trust’s management information system (MIS). They do not need to be on each school’s MIS. If they are not listed, add them in the trust’s Juniper MIS first: go to Staff, then All Staff, and select Create.

  1. Sign in to Juniper Portal and switch to your trust account.
  2. Open User Invitations.
  3. Find the person and select the three dots under Operations.
  4. Select Invite.
  5. In Invite Users, choose Sonar Multi-School under Trust Product.
  6. Choose a role under Trust Assign Role.
  7. Select Send Invitation.

Invite people to each trust product separately, because their role can differ between products. New users get an email with a link to accept the invitation, and have 14 days to accept it. People who already use Portal see the new product the next time they sign in.

You can also give a trust user access to Sonar Tracker, or another school product, in some or all of your schools.

  1. Open Invite Users for the person and choose a trust product and role, as in Invite someone to Sonar Multi-School.
  2. Tick Invite to Schools.
  3. Choose the product under Select School Products.
  4. Choose a role under Assign School Role.
  5. Tick the schools. To tick them all, tick the box next to Name.
  6. Select Send Invitation.

Portal sends invitations only for schools with an active subscription to the product. Hover over the information icon next to a school to see its subscriptions.

You must choose a trust product and role even when the person already has trust access. Choose the ones they already have.

If the person already has a school account

Section titled “If the person already has a school account”

Portal looks for existing users with the same email address at the schools you chose. If it finds one, it warns that the person will be “promoted to a MAT staff member”. When you select OK, at each of those schools:

  • their details change to match your invitation
  • their permissions are replaced by the school role you chose
  • their name shows with an asterisk in the school’s list of users
  • if their account came from the school’s MIS through Wonde, that link is removed, so changes in the school’s MIS no longer update it

From then on, only the trust’s Portal account can manage that access. If the trust later revokes it, the asterisked access is removed and the school can invite the person again.

If your trust signs in to Sonar Multi-School separately rather than through Portal, Juniper Education support adds and changes trust users for you. See Get support and training.

Multi-School is not in the Juniper Products list. You may be in a school account. Select your initials and choose your trust under Other accounts. If your trust is not listed, your accounts may use different email addresses, or you may not have trust access yet. Ask your trust’s Account Owner.

An invitation has expired. Invitations last 14 days. Invite the person again.

Next Step stays unavailable in the export. Choose at least one school, and at least one pupil group or group.
